If you are Planning with Opportunities Hub

Peter Campbell Updated by Peter Campbell

To reach the At Market phase of a Sourcing Activity that uses Opportunities Hub, the Planning stage has an additional step.

Opportunity

Upon creation of the sourcing activity, there is now an Opportunity tab:

This tab allows the user to set up the details for the opportunity so that Suppliers can submit a bid.

Opportunity Setup

The General information section includes a field for entering a description. There is an option to use the description from the Sourcing Activity. This text will be visible to suppliers.

You must also specify a primary contact email. This should belong to an internal member of your organisation who will act as the supplier’s point of contact. By default, this is set to the Sourcing Activity owner, but it can be changed if required.

RFx Pack

Next in the Opportunity setup, the user can create an RFX (Request for X) Pack.

This combines with the RFx Pack created in the planning phase by allowing the user to upload documents as part of the pack:

With the following wizard for the documents:

Uploaded files can be templates or documents with more detailed instructions and requirements.

The Name of the document must be entered and, if required, a Description can be included.

The primary objective is to provide a foundation to receive the details required from the supplier responses.

Core Dates

Below this, there is a Core dates section for the activity. These are firm dates rather than estimates, will be visible to the suppliers and therefore must be adhered to.

An option is also provided to pull through and use the planned dates from the Planning phase:

The Issue date field will automatically be populated once the opportunity has been published.

Invite Suppliers

Scrolling to the bottom of the Opportunity Setup tab, users can invite suppliers by selecting the + Supplier button.

This presents a list of Contacts that the notification will be sent to, with an indicator to reflect the Supplier the contact represents.

If suppliers are invited, this does not mean the opportunity is restricted. The standard process template is open and so other suppliers will also be able to respond

Once the opportunity is published, the contacts selected will receive an email notification inviting them to take part:

And they will be added to a list in this section:

Once all the suppliers have been added, there are no more actions required in the Opportunity Setup tab.

You may notice that the Suppliers tab appears below the Opportunity tab. This is because supplier invitations form part of the opportunity setup, and therefore suppliers cannot be selected until the Opportunity Setup stage has been completed. As a result, the tabs are ordered chronologically to reflect the correct workflow.
