Contract Stage Progression Process
Updated
by Peter Campbell
Draft to Executed
When a contract record is created, it starts in the Draft stage. To advance it to the Executed stage, where the contract becomes active and its values are finalised, specific tasks must be completed. This includes filling in required fields, along with any additional tasks mandated by the Process Template.
To view the tasks required to progress, select the Progress dropdown that is visible at the top of the record:

The standard Process Template that comes with the out-of-the-box configuration has a contract checklist that needs to be completed before the option to move to an Executed status is possible:

The user should work through and complete the required items of this checklist in the Checklist tab on the left hand side of the contract record. Once all of these items have been completed, or acknowledged as not applicable, and the three required fields have been populated, the Complete button will become enabled and the contract can be progressed to the Executed stage by pressing this button.

Moving to the Executed stage locks in the contract values and means that, from this point, the contract details can only be changed by formally applying a variation to the contract.
Before pressing the Complete button, you need to be sure you want to move to the contract to the Executed stage, as it cannot be reversed once done.
Closing a Contract
Moving a contract to a closing stage is still initiated through the Manage button of a contract record.

Selecting the Close contract option will allow you to specify whether you are Terminating or Completing the contract.

This will trigger the necessary actions to advance to this stage, as defined by the active Process Template, and display them in the Progress dropdown, just as it did when moving to the Executed stage. Additionally, it will initiate a new phase in the contract lifecycle, visible at the top of the record.

When all required actions have been completed, you can again use the Progress dropdown to mark the process as complete and move the contract into the closed stage that you selected.
