Supplier Creation
Creating a new Supplier record
The first step within Supplier & Contract Management is to create a supplier record. Once the record exists, onboarding activities can then commence and the process of supplier setup can begin.
Supplier creation can be started from Home or from Suppliers, both pages display a + Supplier option, select this.
A four step wizard will be displayed which will guide you through the process of creating a new record.
Step 1
A Companies House check can be used to aid in the setup. The name or the VAT registration number associated with the supplier can be entered under Search criteria and matching suppliers will be displayed in a list. Find the correct record and select it to populate the supplier details at the bottom of the page under Supplier Information.
You can also manually enter the supplier details into the corresponding fields directly if this is preferred.
Once complete, select Next.
Step 2
Categorise the supplier into one of the four available categories.
If guidance is required on which category to choose, select the hyperlink displayed on the page for Unsure on how to categorise your supplier? Answer the questions as accurately as possible and the system will then suggest an appropriate category.
Once a category has been selected, this will trigger the application of a management plan to the record (Once it has been created). This management plan is a standard set of activities will be displayed to guide you on what is required to successfully onboard the supplier after initial creation. At the bottom of this list are key Classifications on details to capture as part of onboarding.
At this stage, there is an option to finalise the record, as the basic details have now been captured. Initial creation can be as simple as that! If you wish to do this, select Finalise at the bottom of the screen, to continue and add more detail to the initial supplier record, select Next.
Step 3
Add Classifications to your supplier record.
You can select the Classification categories that you want to assign to your new supplier record from the list displayed on the page. There is an option to filter your Classification search and the list displayed by using the Artefact group dropdown at the top of the page.
Select + on the right of the category you wish to select a Classification from and then scroll down to select the specific Classification you wish to assign to the record.
Once you have selected all the Classifications you wish to have on the supplier record, select Next at the bottom of the page.
Step 4
Finally, you need to select a user who will be responsible for administration of this record. This doesn't prevent other users from contributing, the Internal Owner is just to identify the first point of contact for this record.
Review the information provided in the summary to confirm everything that has been entered is correct and then select the Create supplier button at the bottom of the page.
Upon selecting Create Supplier, you will be automatically taken into the record by default where further information can now be added. Be sure to select Save at the bottom of the page when updates have been made.
